Getting started
- Do I need to pay to start?
- No. The Free tier is free forever — one active idea and 50 AI coaching messages per month. No credit card required. You can upgrade at any time if you need more.
- What does 'active idea' mean?
- An idea that hasn't been completed or archived. Completing or archiving an idea frees up your slot for a new one. Nothing is deleted — completed and archived ideas remain visible in your list.
- How does the 14-day trial work?
- When you start a Pro or Power trial, your card is required up-front but you are not charged for 14 days. If you cancel before the trial ends, you pay nothing. The trial is available once per account.
- Can I cancel any time?
- Yes. Cancel from Settings → Manage subscription. You keep access to your paid plan until the end of the current billing period. No partial refunds.
The coaching process
- What is the coaching pipeline?
- Every idea moves through five phases: Capture → Grounding → Planning → Executing → Done (or Archived). Each phase has its own AI coaching conversation with a different focus. You move to the next phase when you and the coach agree it's time.
- What does each phase do?
- Capture: record the idea in 30 seconds. Grounding: the coach asks what problem it solves, for whom, and why now — so you know if the idea has real substance. Planning: approach, pitfalls, timeline, and a task list generated from your words. Executing: the coach becomes an accountability partner — it remembers your tasks and checks in on progress. Done or Archived: every idea reaches a verdict, not neglect.
- Can I go back to a previous phase?
- The coach can revisit earlier thinking at any point in a conversation. Formally moving backward between phases isn't supported — the pipeline moves forward by design, because the value is in the phase-to-phase discipline.
- What is an AI message?
- Each time you send a message in the coaching chat, that counts as one AI message. Capturing an idea, managing tasks, and receiving push notification reminders do not count toward your limit.
- What happens when I hit my AI message limit?
- The coaching chat is paused for the rest of the month. Your ideas, tasks, and conversation history are all safe — nothing is deleted. The limit resets on your billing date. You can still capture new ideas and manage tasks.
- Why is there a limit on how many ideas I can have?
- The limit is the feature. Research on goal shielding (Shah, Friedman & Kruglanski, 2002) shows that committing to a focal goal suppresses competing ones — people who successfully ship ideas tend to be working on fewer than they think they need. The limit is a commitment mechanism. When you finish or archive an idea, the slot opens. Archive a stalled idea to make space; archive isn't delete.
- Is the AI coach actually useful, or is it generic?
- The coach is designed around your specific idea. It reads your full conversation history and current task state every session. Each phase uses a different prompting approach — grounding asks probing questions, planning works through specifics with you, executing focuses on what's blocking progress right now. It won't suggest 'talk to potential customers' if you've already told it you did.
Pricing & plans
- What's the difference between Free and Pro?
- Free gives you one active idea and 50 AI messages per month — enough to run a complete coaching cycle on a single focused idea. Pro gives you 10 active ideas and 200 messages per month, plus push reminders, idea export, and priority support.
- What's the difference between Pro and Power?
- Pro is for solo founders running a focused set of ideas — 10 active ideas and 200 AI messages per month covers most people well. Power is for founders actively running multiple bets in parallel: 30 active ideas and 600 messages per month. If you regularly hit Pro's idea cap or run out of messages before your billing date, Power is the right tier.
- Are prices in AUD?
- Yes. All listed prices are in Australian dollars and exclude GST. Paddle (our payment processor and Merchant of Record) adds applicable taxes — including GST for Australian customers — at checkout and shows you the final tax-inclusive total before you pay.
- Is there an annual billing option?
- Not yet — annual billing at 2 months free is on the roadmap. Email us at contact-us@neosapiens.com.au if you'd like early access.
- What happens to my data if I downgrade?
- All your ideas, conversations, and tasks are preserved. You will not be able to add new ideas beyond the limit of your new plan, but nothing is deleted.
Privacy & security
- Who can see my ideas?
- Only you. Row-level security in the database means each account can only read and write its own data. Your ideas are private by default and never visible to other users.
- Are my ideas used to train AI models?
- No. We do not use your idea content to train AI models. Your content is sent to Anthropic's API to generate coaching responses and is processed under Anthropic's privacy policy. Anthropic's API terms for business customers prohibit training on submitted content by default.
- Where is my data stored?
- Your data is stored in Supabase, hosted on AWS in the AP-Southeast-2 region (Sydney, Australia). All data at rest is encrypted by the hosting provider. All data in transit is encrypted with TLS.
- How do you handle payments?
- All payment processing is handled by Paddle, our Merchant of Record. We never see or store your card number. We only store a Paddle customer ID and your subscription status.
- Can I delete my account and all my data?
- Yes. Go to Settings → Account → Delete my account. Deletion is immediate and permanent — all your ideas, conversations, and tasks are removed within 30 days. Billing records are retained for 7 years as required by Australian taxation law. You can also request deletion by emailing contact-us@neosapiens.com.au.
- Do you use cookies or tracking?
- We use only essential session cookies set by Supabase Auth to keep you signed in. No analytics cookies, no third-party advertising trackers, no fingerprinting.
Using IdeaFlow on your phone
- Do I need to download an app?
- No. IdeaFlow is a Progressive Web App (PWA). You can use it in any browser, or install it to your home screen for an app-like experience with offline capture and push notifications.
- How do I install IdeaFlow on iPhone?
- Open IdeaFlow in Safari. Tap the Share button (the square with an arrow). Tap 'Add to Home Screen.' Once installed, you get offline capture and push notification reminders. iOS 16.4 or later is required. This is an Apple platform requirement — only apps installed via Safari support web push on iOS.
- Why does my iPhone sometimes open Siri instead of the bottom navigation?
- This is a known iPhone behaviour when swiping up from the very bottom edge of the screen — it can trigger Siri Suggestions or the home gesture. IdeaFlow adds padding above the home indicator to reduce this, but on some devices a deliberate upward swipe from the bottom edge may still trigger iOS gestures. Tap the navigation icons directly rather than swiping as a workaround.
- Does offline capture work?
- Yes. If you capture an idea while offline, it queues locally on your device and syncs automatically when your connection is restored. You need to have visited IdeaFlow at least once while online to enable offline mode.
- How do follow-up reminders work?
- When you capture an idea, you can set a follow-up date. At that time, IdeaFlow sends a push notification to your device reminding you to continue the coaching conversation. You can configure the day and time of reminders in Settings. Push notifications require the PWA to be installed to your home screen on iPhone.
